The first is policy is about how you share data and documents via email, especially if those emails that contain client information. We recommend not using email to share documents, but if you must, make sure that they are password protected. You can then share the password with your client via a different system (i.e., SMS)
The second policy or procedure that you should be implementing is the use of a secure client portal. Client portals are a much better way of sharing information and data that doesn’t put you or your client at risk.
The third policy is all about passwords. Passwords need to be taken seriously. We all know how hard it is to remember passwords, but don’t become lazy and use the same password for everything. Make your passwords long form, multi-word phrases with capitalised letters and special characters.
The best way to stay on top of your passwords is to use a password manager. By using a password manager your passwords will be safe and secure, you’ll never have to remember them all again, and you can change them regularly.
